Overview

ProctorLaw is a free attorney matching service for consumers in Ohio. This Privacy Policy explains what information we collect when you submit an intake form, how we use it, who we share it with, how long we keep it, and your rights regarding that information.

ProctorLaw is not a law firm. We do not provide legal advice. Submitting an intake form does not create an attorney-client relationship between you and ProctorLaw. An attorney-client relationship is formed only between you and the attorney you choose to engage after a match.

Information We Collect

When you submit an intake form, we collect:

  • Your name
  • Your email address
  • Your phone number (optional)
  • Your U.S. state and, where provided, county
  • The type of legal matter you need help with
  • The free-text description of your legal situation that you choose to share

We do not collect more than what is necessary to match you with an attorney. We do not collect Social Security numbers, financial account numbers, driver's license numbers, or other government identifiers through our intake forms.

When you visit our website, we also collect limited technical information automatically, including your IP address, browser type, device type, referring URL, and the pages you view. This information is collected through privacy-friendly analytics and is not used to build advertising profiles.

How We Use Your Information

We use the information you provide to:

  1. Match you with one vetted Ohio attorney whose practice area and location fit your case
  2. Share your case summary with that matched attorney so they can evaluate the case and contact you directly
  3. Send transactional emails to you about your match, including confirmation of submission and notification of attorney response
  4. Send optional SMS confirmations to the phone number you provide, if you provide one
  5. Improve the service through aggregated, anonymized analytics that do not identify you

We do not sell your information to data brokers, advertisers, or other attorneys outside of the single match we make for you.

Who We Share It With

We share your intake information only with:

  • The one attorney we match you with, after our internal review of your submission
  • Our service providers who help us operate the platform, including our email delivery provider (Postmark), our SMS provider (Twilio), our database host (Supabase), and our website host (Render). These providers are contractually limited to processing your data only on our behalf.
  • Law enforcement, regulators, or courts when required by valid legal process, or to protect the safety of any person

We do not flood your submission across multiple firms. We do not sell your information. We do not use your information for advertising purposes.

How We Protect It

Your information is encrypted in transit using TLS 1.3 and at rest using AES-256 encryption. We follow industry-standard data-handling practices consistent with ABA Model Rule 1.6 confidentiality standards. Access to your intake data is limited to personnel and matched attorneys with a specific need to access it.

No method of transmission over the internet or electronic storage is 100% secure. We work to protect your information but cannot guarantee absolute security.

How Long We Keep It

  • Matched intakes: We retain intake data for 24 months from the date of match. This retention period reflects the typical window during which questions about a match might reasonably arise, including Ohio's one-year statute of limitations for legal malpractice claims, with a buffer period afterward.
  • Unmatched intakes: If we are unable to match you with an attorney, your intake data is automatically deleted from our active systems after 90 days.
  • Aggregated analytics data: Anonymized analytics that do not identify you may be retained indefinitely for service improvement purposes.

After the applicable retention period, your data is permanently deleted from our active systems. Backup copies are overwritten on a rolling basis and are typically purged within 60 days of deletion from active systems.

Your Rights

You have the right to:

  • Access the intake data we hold about you
  • Correct inaccurate information
  • Delete your intake data at any time, including before the standard retention period ends
  • Withdraw from the matching process at any time before a match is made
  • Receive a copy of your intake data in a portable format

To exercise any of these rights, email privacy@proctorlaw.io with your request. We respond to verified requests within 30 days. We may ask you to verify your identity before processing requests to protect against unauthorized access to your information.

If you are an Ohio resident, you have additional rights under Ohio law to the extent applicable. If you are a California resident, you have rights under the CCPA, including the right to know what information we collect, the right to delete personal information, and the right to opt out of any sale of personal information (note: we do not sell personal information).

Cookies and Analytics

We use privacy-friendly analytics to understand how visitors use our site. We do not use advertising trackers, social media pixels, or third-party data brokers. We do not engage in cross-site tracking.

We use Google Analytics 4 with IP anonymization enabled. You can opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on.

Some essential functions of our website require small amounts of locally stored data to work properly (for example, remembering that you have submitted an intake during your visit). This is not used for tracking.

Children's Privacy

ProctorLaw is intended for adults aged 18 and older. We do not knowingly collect information from anyone under 18. If you believe a child has provided us information, contact privacy@proctorlaw.io and we will delete it promptly.

Third-Party Links

Our site may contain links to third-party websites, including attorney profiles, blog references, and court resources. We are not responsible for the privacy practices of those external sites. We encourage you to review their privacy policies.

Changes to This Policy

We may update this Privacy Policy from time to time. We will post the new effective date at the top of this page. For material changes (changes that materially affect what data we collect, how we use it, or who we share it with), we will communicate the changes by email to anyone who has submitted an intake within the prior 12 months, at least 30 days before the changes take effect.
